Entity Locker For Secure Documents Management: What Are The Uses And Benefits

The Union Government has launched an entity locker, an innovative cloud-based platform designed to transform the management and verification of business and organization documents. The platform is meant to simplify the management, verification, and storage of business documents safely.

The initiative has been developed by the National eGovernance Division (NeGD) under the Ministry of Electronics and Information Technology (MEITY). Entities such as large organizations, corporations, micro, small, and medium enterprises (MSMEs), trusts, startups, and societies would be able to make use of the platform for their business requirements. It aims to minimise administrative overhead, reduce processing times, and enhance operational efficiency for businesses.

Built on a robust technological framework, the Entity Locker provides real-time access and verification of documents through integration with government databases. It also facilitates consent-based mechanisms for secure sharing of sensitive information, Aadhaar-authenticated role-based access management to ensure accountability and a total of 10 GB of encrypted cloud storage for secure document management. Notably, the platform will have legally valid digital signatures for authenticating documents.

Other benefits of the Entity Locker include streamlining document sharing and access with partners and stakeholders with built-in features that simplify adherence to regulations and reporting requirements. The platform ensures accountability by tracking all document-related activities. It consolidates storage and security to reduce administrative overhead and minimizes document processing times and operational bottlenecks while ensuring seamless integration with government organizations.

The platform also provides integration with systems such as the Ministry of Corporate Affairs, the Goods and Services Tax Network (GSTN), the Directorate General of Foreign Trade (DGFT), and other regulatory institutions, giving businesses instant access to critical documents, facilitating simplified compliance processes, and ensuring efficient document management.

Entity Locker also supports various use cases that include vendor verification on the procurement portal, expedited loan applications for MSMEs, FSSAI compliance documentation, vendor verification during registration in GSTN, MCA, and the tendering process, and streamlined corporate annual filings.

The launch of the platform is a crucial step towards enhanced digitalization drive and ease of doing business.
